The Office of the University Registrar at MacEwan University in Edmonton, Alberta, requires an Associate Registrar, Records & Registration, for a full-time term position (12 months). This is an exciting opportunity to join a vibrant, innovative educational institution focused on student learning.
The Associate Registrar, Records & Registration reports to the Registrar and is responsible for the management and direct and indirect supervision of 22 staff providing the following services: 1) Information & Registration, 2) Fee Cashiering, 3) University Switchboard, 4) Prospective Student & Financial Aid Advising, 5) Scholarships, Awards & Bursaries, and 6) Records & Transcripts. The incumbent is responsible for ensuring the accuracy, integrity and confidentiality of all student records and for the recording of same through supervision of staff who oversee degree audit, transcripts and credentials. In addition, the incumbent is responsible for leading front line services including general information, fee cashiering, prospective student and awards and financial aid advising. The Associate Registrar, Records & Registration leads the processes connected with the preparation of graduation lists and degrees, diplomas and certificates. In conjunction with the other Associate Registrars, this position is also responsible for the management and daily operations of the Office of the University Registrar
Candidates are required to have excellent communications, interpersonal and problem solving skills. A working knowledge of Freedom of information and protection of privacy legislation and its practical application in an academic context is an asset. The candidate will be expected to have information and records management skills, being able to make full use of a modern integrated student information system and related technologies. The role also requires extensive staff supervision and policy interpretation, research, development, implementation and application skills, at times involving a variety of senior committees.
The ideal candidate will possess a graduate degree. A combination of a Bachelor’s level degree and 5 or more years of directly related leadership experience in a Registrar’s office, or similar setting in an academic setting, may be considered. Candidates must have a minimum of seven years’ work experience in a recognized post-secondary institution with increasing levels of responsibility, four of which must be working in the area of student records, registration or admission. Experience with convocation would be considered an asset.
The position is located at MacEwan University City Centre Campus, in the Office of the University Registrar. Occasional travel related to in and out-of-town meetings and professional conferences may be required. Attendance at academic meetings at our Edmonton campuses may also be required, as well as other functions such as convocation; these meetings and events can extend past the regular 8:30 AM to 4:30 PM Monday to Friday work day. Some functions, such as open house and parent orientation occur on weekends, requiring the participation of the Associate Registrar.
