Opportunity
The Convocation Coordinator (CC) is accountable for the hands-on work, detail and task execution necessary for a well- organized and well managed university convocation, including the ceremonial aspects of convocation. These responsibilities encompass all convocation related matters, including logistics for awards presented at convocation, supporting luncheons and dinners, protocols, including those related to visiting faculty and dignitaries, publications such as the convocation program, faculty and student gown matters, photography, event web-streaming, seating and capacity issues and volunteer and support staff coordination. The work in this part-time position increases as convocation approaches, reaching its peak immediately prior to and during convocation. Success will rely on the timely execution of tasks, some of which start many months in advance of convocation.

This position reports to the Assistant Registrar, Calendar, Communication & Convocation (ARCCC) and works alongside the current unit complement which includes the Technical Production Analyst, and Manager, Program Administration. The Convocation Coordinator coordinates dozens of staff and volunteers who help with convocation. The position also works and interacts, as appropriate and under the guidance of the ARCCC, with the following university offices and positions: President's Office, Board office and Secretary, the Provost, Deans, Associate Deans, Vice Presidents, Directors and Department heads.

Skills
The Convocation Coordinator must be an energetic planner with excellent attention to detail, following up to ensure that the many tasks that go into convocation are completed correctly and in a timely fashion. The candidate will be able to create, compose and edit written materials and will possess effective analytical and problem-solving skills. Excellent interpersonal, organizational and communication skills are required for dealing with senior level faculty and staff. This includes the ability to provide concise and accurate feedback regarding university policies and procedures. Planning skills, time and task management are critically important when it comes to managing a major multi-day event such as convocation. It will be important for the Convocation Coordinator to problem solve and make complex decisions independently, work under pressure and meet publishing and event deadlines and timelines. Strong knowledge of the workings of the web and standard web publishing technology and demonstrated experience in working with web publishing software are important. Given the nature of the work there must be a tolerance for ambiguity. The Convocation Coordinator will need to be able to interact with a variety of people, in what are sometimes difficult circumstances, approaching situations with both grace and a positive attitude.

Qualifications
The successful candidate will have, as a minimum,

1) a Bachelor’s Degree, and

a. three years leadership experience in a Registrar's Office or similar post-secondary setting,
or
b. three years in an event related role in an organization hosting or holding formal large scale public events,
or
c. one year leadership experience in a Registrar's Office directly supporting convocation, plus at least 1 year direct event coordination involvement in an organization hosting or holding formal large scale public events
