The Shared Administrative Services team within the University Services division provides shared administrative services for the Business Management Services department as well as supporting divisional initiatives. The team also supports the daily operations of the University Service Centre (USC).

In this role you would provide assistance with day-to-day team and shared services activities. You are key in assembling meeting information, preparing and maintaining agendas, recording and preparing meeting minutes, and preparing a variety of presentations and reports. Other responsibilities include maintaining a records management system and managing a divisional newsletter. You also support the daily operations of the USC by providing coverage at the front reception, opening and/or closing the main doors, and assisting with other operational tasks.

You are known to demonstrate high level of initiative to plan and coordinate work independently, operating with professionalism, integrity, and maintaining confidentiality. You are able to independently prioritize your workload and possess superior organizational and time management skills. Finally, you are considered an excellent communicator with strength in attention to detail.

The successful candidate will have a diploma in office administration or equivalent, along with 2-5 years of progressively responsible office administration experience. One to two years of experience working in a front end reception positon would be considered an asset. Intermediate to advanced level training and/or experience in Microsoft Office programs including Word, Excel, Visio, and PowerPoint is required. Experience working with PeopleSoft would also be considered an asset.
