After you apply, you will receive a Network ID letter in the mail with a username and password to login to myMacEwan.ca.
If you have not received yourNetwork ID within two weeks of your application, email admissions@MacEwan.ca to request a new letter.

myMail
MacEwan communicates with students through their university assigned myMail account. According to policy E3101, you must check your myMail regularly and send all emails to MacEwan University faculty and staff from your myMail account. Access your myMail account through myMacEwan.ca.
E-newsletters are sent to your myMail account every two weeks during the fall and winter terms. These contain information on program updates, fun events, opportunities for BA students, and more.

To check your admission status, enrol in courses, pay your tuition and fees, view your course history, and check the status of your transfer credit, you will use the Student Centre on myStudentSystem. Access myStudentSystem through myMacEwan.ca.

Transcripts
The Office of the Registrar will order official Alberta high school transcripts for you and transcripts from post-secondary institutions that participate in Apply Alberta. You must submit transcripts from other schools.
New students who have been conditionally accepted to the Bachelor of Arts program are reminded that they will be withdrawn from the program if all admission conditions are not met by the document deadline. Withdrawal will occur without prior notification. It is your responsibility to ensure that you have met the conditions of your admission before purchasing textbooks, etc. If you require an extension on the document deadline, please contact the Office of the Registrar in writing prior to the document deadline.
Final Acceptance
You may receive a final or conditional acceptance letter in the mail.
If you receive the final acceptance letter, this is your confirmation of admission.
If you receive a conditional acceptance letter, check for your final acceptance through myStudentSystem. Received Academic Conditions indicates final acceptance.

- Search for “Academic Conditions” in the chart and a status of “received”
Pay Your Deposit
All students newly accepted to a program are required to pay a non-refundable $200 deposit. Your program deposit will be applied towards your tuition and fees for your first term. Please pay your deposit within 21 days of receiving your offer of admission letter. If you are an international student, confirm the amount of your International Student Deposit.
There are several ways to pay your deposit but the quickest way is to pay online through myStudentSystem.
Attend an Academic Planning Session
After you have paid your deposit, the program will invite you to an Academic Planning Session and you will be eligible to enrol. Students who have been accepted for fall term will be contacted starting in May. Students who have been accepted for the winter term will be contacted starting in November. Watch your myMail account for your invitation.
Several Academic Planning Sessions are held during the months before the start of the term. The following topics are covered:
- Planning your degree
- Choosing the right courses
- Finding out how many courses you should take
- Navigating which sections you can enrol in
- Accessing university materials, services, and other help on campus
- Calculating Grade Point Average (GPA) and understanding Academic Standing
- Understanding university vocabulary: junior vs. senior level courses, Gateway exams, prerequisites, labs, etc.
You can sign up for a session if you have been accepted to the Bachelor of Arts program and have paid your deposit.
If you cannot attend a session because you live outside of the Edmonton area, you can still enrol in your classes through myStudentSystem. We encourage you to carefully review the information on this website before you enrol.

Planning sheets help you keep track of the courses you take to fulfill the core, major, minor, and options requirements of your degree. Your graduation depends on fulfilling all degree requirements and regulations accurately. These requirements and regulations are determined by the year you declare your major and minor or the year you are accepted to an Honours program.

Declare Your Major and Minor
You must officially declare your major and minor. You should declare after you are admitted to the program and prior to completing 45 credits towards your degree. You are bound by the degree requirements of the year you declared your major and minor so make sure you are using the Academic Calendar and major and minor planning sheets from the year you declare.
Contact a Discipline Advisor
We encourage you to contact a discipline advisor to discuss your intended major and minor. Each discipline has appointed a faculty member to advise declared students on the best courses to take to fulfill major and minor requirements. Discipline advisors can also provide useful information on career options, and graduate school.
We strongly recommend that students in the last two years of their degree make an appointment with their discipline advisor to ensure that program planning is accurate.
Procedure for Official Declaration
- Log in to myMacEwan.ca
- Select the Student Services tab from the top menu bar
- Find the online declaration form on the lower right-hand side of the page
- Choose Bachelor of Arts
- Select both a major and minor from the drop-down menu
- Click Submit
If you decide to change your major and minor, you can re-declare by repeating the process above. You will need to follow the requirements of the year you re-declare if you do so.

Please ensure you are using the major and minor planning sheets and the Academic Calendar of the year you officially declare. Refer to the table below to determine which year's degree requirements you must adhere to:

Choose Your Courses
To choose your courses you should first get your planning sheets and plan your degree. It is best to choose your courses from the Core Requirements and/or options in your first year. The information below will help you understand the basics about choosing courses.
Courses Available to BA Students
Download the list of courses offered through the Faculty of Arts and Science during the fall 2012 and winter 2013 terms.
You can only enrol in courses that can be used towards your BA degree requirements. Non-Arts and non-Science courses (eg.Fine Arts, Business, Education, Physical Education, etc.) require approval to fulfil your BA options. Please consult an advisor prior to enrolment in any non-Arts or non-Science courses.
Course Descriptions
Course descriptions provide you with a brief overview of what you will study in a course, the course name and number, the credit value, and the prerequisites. The course description legend breaks down the structure of a course description. Course descriptions are available in myStudentSystem, on the discipline web pages or at the back of the Academic Calendar.
Prerequisites and Co-requisites
A prerequisite is a course that must be successfully completed with a grade of C- or better prior to attempting a subsequent course. The course description may also list co-requisites which are courses that must be taken along with another in the same term.
The Faculty of Arts and Science has the right to withdraw students from a course at any time if it is begun without the prerequisite or co-requisite or to withhold credit for that course.
Course Load
Course Load refers to the number of credits taken in a term. When choosing how many courses you should take in a term, consider the following.
- The majority of courses in the BA program are 3 credits (See an advisor to add any 6 cr courses)
- To be a full-time student, you must enrol in 9 credits per term
- The maximum course load allowed in the BA program is 15 credits per term. You must apply for a Credit Overload to take more than 15cr per term
- If you are on a student loan, you must maintain enrolment in a minimum of 9 credits per term
- You must enrol in a minimum of 3 credits in an academic year to remain in the BA program
- You must enrol in a minimum of 3 credits in the first term you are accepted to the program
Language Courses
Check the language placement information to make sure you are taking the correct course.
Special Topics & Field Schools
Special Topics courses are offered to focus on specific areas of interest within a discipline. The topics are chosen based on the expertise of the instructors that teach these courses and the topics may vary from term to term. See the course list on the discipline web pages for a list of this year’s topics.
There are Classics field school and Anthropology field school courses offered during the summer in alternating years. Contact the disciplines for more information on these course offerings.
Individual Study Courses
Individual Study Courses are available to fourth year students with an interest in doing specific research within a discipline. You will need to find an instructor to supervise you and to create a specialized course outline. Talk to an instructor that teaches in the area you are interested in for details on the courses and the process to get enrolled.
Junior and Senior Courses
Courses numbered 100-199 are considered junior-level
Courses numbered 200 and higher are considered senior-level
Minimum Grade Restrictions
The minimum passing grade at MacEwan University is D. However, to be in good academic standing, you must maintain a 2.0 Grade Point Average (GPA) each term. Please refer to the Academic Standing policy (C2070) for details or speak with an advisor for help understanding the policy.
Enrol in Courses
myStudentSystem
You will enrol yourself in courses using myStudentSystem. To learn how to enrol in courses, check out the myStudentSystem step by step instructions.
You can add and drop classes online until the add/drop deadline each term. You can withdraw from a course without academic penalty if you do so before the withdrawal deadline. Deadlines can be found in the Academic Schedule.
Section Numbers
A section number corresponds to the specific time and days a course is being offered.
For example, ENGL 102 is a course. There are many different classes of this course running during each term. The section number tells you which class you are enrolling in on specific days and at a specific time.
You can enrol in AS, GS, EX, or OP sections.

Labs and Seminars
Certain courses have a lecture and a lab component or a separate seminar component. You must enrol in all components of a course.
To find out if a course has a lab or a seminar component, check the course description. The legend of a course description will show you where in the description you can find this information.
Prerequisite Checking in myStudentSystem
When you enrol, myStudentSystem will check for post-secondary prerequisites. If you have the prerequisite but myStudentSystem is preventing you from enrolling, contact Program Services immediately.
High school prerequsites will be checked by the Faculty of Arts and Science during the first month of the term. The Faculty of Arts and Science has the right to withdraw students from a course at any time if it is begun without the prerequisite or co-requisite or to withhold credit for that course.
You may enrol in a course in the winter term and complete the prerequisite course in the fall term. However, if you withdraw or fail to achieve a grade of C- in the prerequisite course, you must remove yourself from the winter term course immediately.
Prerequisites from another post-secondary institution
If you met a prerequisite by completing a course at another post-secondary institution, it is your responsibility to contact Program Services prior to enrolment.
Apply to Audit a Course
You do not receive credit in courses you audit. Students sometimes audit language courses if they feel they need to refresh their skills before attempting the course they are required to take. You will need to apply to audit a course before you can enrol.
Request Permission Numbers
Permission Numbers (PN)
Permission numbers allow you to enrol in certain restricted sections through myStudentSystem.
myStudentSystem may also require a PN to enrol in a course because it does not recognize your transfer credit as the prerequisite. Contact Program Services immediately if this is the case.
Requesting a seat in CU or CA sections
Approximately one month before the term, students can request seats in Commerce (CU or CA) sections. Come to Program Services with the course and section to request a permission number.
Only CU or CA sections of Arts and Science courses or Business Studies minor courses that can fulfil BA degree requirements can be requested. Seats in classes are reserved for students in the programs that offer the sections so we cannot guarantee that your request for a seat will be granted.

All students require a PN to enrol in the following courses. After enrolment opens in April, contact the Chair of the discipline (unless alternative contact is listed) that offers the following courses for a PN.

Pay Your Tuition and Fees
Deadlines
You must pay your tuition and applicable fees by the deadline each term.
If you are withdrawn for non-payment, you will need to contact the Office of the Registrar.
Find Out What You Owe
Tuition and fees are updated overnight. If you adjust your enrolment, make sure you check myStudentSystem the next day to verify the amount you owe.
Make a Payment
You can make a secure payment on your account through myStudentSystem. If you prefer not to pay online, there are several other ways to make a payment.
Help with Student Loans, Scholarships, and Other Funding
If you need help finding the funds to pay for university, contact an advisor in the Student Resource Centre. They assist students with everything from finding funding to planning a student budget.
Get Ready For Classes
The MacEwan Card Photo ID
The MacEwan Card is the official student identification and library card. Get your card from the library before classes start.
U-Pass
The Universal Transit Pass (U-Pass) is a mandatory fee-based service for all full-time students. The U-Pass gives all full-time MacEwan students unlimited use of regular ETS, St. Albert and Strathcona bus and LRT service from September to April. You can pick up your U-Pass after you have your MacEwan Student ID card and you have paid your tuition. Contact the SAM Centre to find out when U-Pass stickers are available.
Textbooks
You can search for your textbooks online. To find the correct text books, you must know the courses and sections you are enrolled in. You can see which sections you are enrolled in on myStudentSystem.
You can purchase your books online or buy them at the bookstore on campus. You can also check the SA's Used Textbook Registry.
Your Syllabus
A syllabus is distributed in the first class of each course. It is an official outline of what you can expect to learn in the course and what is expected of you. It will outline deadlines for assignments and required readings. Refer to your syllabus throughout the term.
Lockers
Lockers are available to full-time students. Remember to register and pay for your locker.
Health and Dental Plan
The Students' Association of MacEwan offers a Student Health and Dental Plan. You can also add a family member or opt-out of the plan if you already have comparable health coverage.

You are responsible for checking and adhering to all posted dates/deadlines and university policies.

Strategies for Student Success (STSS)
These are a series of $10 workshops held in September each year focusing on Study Skills, Time Management, Essay Writing, Stress Management, and Exam Preparation. You can sign up for these workshops by searching for “STSS” on our Continuing Education Course Database.
Talk to Your Instructor
Talking to your instructors often about assignments or course content is a smart way to success in your courses. They are the experts on the content and will be marking your assignments. Don’t be shy! Your instructors’ office hours are listed on your course syllabus.
Final Exams
Check the exam schedule to find when and where your exams will be held. Exam schedules are also posted on campus outside the bookstore shortly before exams begin. The exam schedule can change during the term. You should consult your instructors as well as the exam schedule prior to the exam period for any changes. It is your responsibility to know when and where your final examinations are scheduled and to arrive on time.
Final Exam Deferrals
Requests for deferred final exams are considered only when you miss final examinations due to acceptable extenuating circumstances such as illness accompanied by a signed note from a doctor, death in the family, serious family crisis, accident, etc. You must request a deferred exam no later than 2 business days after the missed examination. Permission to defer a final exam is not automatically granted by submitting a request.
- If you are requesting a deferred exam for an Arts course, request the deferral from the Chair of the appropriate department.
- If you are requesting a deferred exam for Science, Engineering or PhysEd courses, present the request to the administrative assistant of the appropriate department. They will forward the deferral request to the Chair of the program.
If you need to request a deferral for a midterm exam or assignment, talk to your instructor.
GPA & Academic Standing
The academic standing of all students is evaluated at the end of each term. You must maintain a grade point average (GPA) of 2.0 to be considered in Good Academic Standing. Students whose GPA falls below 2.0 may either be placed on Academic Probation or be Required to Withdraw. For more information, refer to the Academic Standing policy (C2070) or talk to an advisor in Program Services.
Check Your Transfer Credit
Transferring Credits to MacEwan University
If you are transferring from a post-secondary institution in Alberta, you can check the Alberta Transfer Guide for transfer agreements.
All transfer credit from other post-secondary institutions is assessed after admission to the program. Evaluation of transfer credit can take several weeks. Remember to check your myMail account for requests from the Office of the Registrar to submit course outlines as these may be needed to complete an assessment.
Check Your Transfer Credit Status and Awards
You can check what transfer credit you have been awarded in myStudentSystem. If you would like to know where in the assessment process your transfer credit is at, please email TransferUnit@MacEwan.ca from your myMail account.
Placement of Your Transfer Credit
After your transfer credit has been evaluated and if you have questions about the courses you have been awarded (eg. 1XX, 2XX, 3XX, 4XX, or "cannot also reveive credit in..."), book an appointment with an adivsor in Program Services. They can help you understand how the credits work towards your degree requirements.
Apply for Visiting Student Permission
You can apply for permission to take courses towards your degree at another recognized post-secondary institution. In order to receive credit for courses taken at another institution, you must apply and be granted permission prior to starting the course.

Program Check
A program check can help you monitor your progress in the program and confirm that you are on track to graduate. Once you have completed 45 credits and declared your major and minor, you may request a program check from Program Services.

You must apply to graduate through myStudentSystem by the deadline. You can find the application to graduate link under My Academics.

Convocation Ceremony
MacEwan University holds two convocation ceremonies per year. If you complete your degree in December or April, you can convocate in June. If you complete your degree between May and August, you can convocate in November.
