If a resident wishes to depart MacEwan Residence prior to the expiry of the Residence Agreement (4 month or 8 month duration) they must submit a Request to Withdraw Form.
Residents who choose not to submit a Request to Withdrawal Form prior to their departure from MacEwan Residence will automatically be assessed a $100 Improper Withdrawal Fee along with all other applicable fees outlined in the "Refund" area of the Moving Out section.
Residence Services encourages all departing students to submit the Request to Withdraw Form at least 5 business days prior to their departure from Residence. Failure to do so will result in a $100 Improper Withdrawal Fee being assessed.
To avoid a $100 Improper Withdrawal Fee all departing residents are also encouraged to schedule a meeting with the Housing Coordinator a minimum of 24 - 48 hours prior to their actual departure. The meeting is to ensure that departing students understand the departure process and the fees/penalties pertaining to their withdrawal.
Completing the Request to Withdraw Form does not terminate the residents Residence Agreement and/or release a resident from their financial obligations to MacEwan Residence under the Residence Agreement. In all cases, residents who choose to depart MacEwan Residence prior to fulfilling their obligation to MacEwan Residence will be subject to the following fees and/or penalties;
Inactive Student: Residents who are no longer active students (have withdraw from their academic program) and who opt to withdraw from MacEwan Residence will be refunded their paid residence fees less the $500 Security Deposit, and a $100 Early Withdrawal Fee, and the pro-rated equivalent to the actual time spent in their assigned Residence space. Failure to provide the required documentation upon submission of the Request to Withdraw Form may negatively affect the amount of any potential refund.
Non-MacEwan students who are no longer active students at their respective post-secondary institution are required to provide supporting documentation upon submission of the Request to Withdraw Form. Failure to provide the required documentation may result in significant delays to a refund and/or additional financial penalties (i.e. the pro-rated amount equivalent to one month’s rent).
Active Student: Residents who are still active students (have not withdrawn from their academic program) when withdrawing from MacEwan Residence under normal circumstances (i.e. found another apartment, moving in with a friend, returning home to live with parents, etc.) will be refunded their paid residence fees less the $500 Security Deposit, the pro-rated amount equivalent to the time spent in their assigned space, a $100 Early Departure Fee and the pro-rated amount equivalent to one month’s rent (of their allocated suite type).
Exceptional Circumstances: Requests for early withdrawal without penalty will only be considered under exceptional circumstances (i.e. hospitalization, serious illness, death in the family, etc). The Housing Coordinator will meet with the resident to discuss the request and will notify the resident in writing of the decision. Supporting documentation must be submitted with the Request to Withdraw form before a meeting will be scheduled.

- Come to the front desk to schedule a move-out appointment when you know you are departing (first come, first serve).
- Make sure that your room is cleaned and that all your personal belongings are out before the appointment.
- Make sure that all garbage and recycling is taken down stairs to the waste disposal room.
- Accompany the staff member doing the move out appointment and make sure that you are ready to depart.
- Take your completed copy of the inspection form to the Front Desk.
- Hand in your keys and prox card at the front desk. Be sure to sign them back in on your student key registration card.
