2010/11 Residence Guarantee

Grant MacEwan University is pleased to offer guaranteed residence space for 2010/11 to students:

1. whose residence application for 2010/11 has been received by 4 pm MST May 1, 2010, and;
2. whose $500 residence security deposit has been received by 4 pm MST June 15, 2010, and;
3. who have applied for full-time studies at MacEwan for 2009/10 by June 15, 2010.

Note:  winter terms at MacEwan Residence (regardless of year) do not have a residence guarantee.  Space for the winter term is subject to departures from the fall term and to overall availability.

Applicants who do not meet all of the above criteria will be assigned to available residence space on a first come, first served basis once all those who qualified for guaranteed housing are placed. Roommate requests will only be considered where all roommates have met the guaranteed criteria and where identical application preferences (e.g., suite type and living area) are provided by all roommates. Furthermore, final residence space is contingent upon the student submitting all required subsequent documentation and fees and being a MacEwan student at move-in.

An application for  Fall/Winter 2010/11 is subject to an eight (8) month Residence Agreement from September 2010 to April 2011 and does not include the December/January break.

An application for Fall 2009 is subject to a four (4) month residence agreement from September 2010 to December 2010 and does not include the December/January break.

Applications will be processed only if the required $50 application fee has been paid.

Be sure to select the correct term for which you require residence (e.g. select 2010/11 Fall/Winter for next year, not 2009/10 Fall/Winter which is the current school year). If the term you require is not listed, it means that we are not accepting applications for that period at that time.   If the term you are looking for is not open, we ask that you refrain from submitting an on-line application as it will not be processed and you cannot transfer the application from one period to another.

Step 1 - It is recommended that students submit their online application and pay the required $50 application fee by visiting www.macewan.ca/residence.  The application takes 10 - 12 minutes. Processing a paper application may take 2 - 4 business days to process, which may affect the status of your offer.

If you chose to submit a paper application, please fully complete and submit a residence application form and pay the $50 residence application fee.  Be sure to include your myMacEwan email address and MacEwan Student ID# (if known).   If you are not a MacEwan student, you are required to provide the email address that has been provided to you by the post secondary institution that you are attending.

Step 2 - Within five (5) business days of receiving your completed paid residence application, the application will be processed and an offer will be subject to availability.  If an offer is possible, you will receive a letter via email with instructions for securing your residence space. The offer letter will not include an assigned suite type at this point.  If we are unable to make an offer, you will receive a letter via email advising you that you have been waitlisted.

Step 3 - Confirm and secure your residence space by submitting your Security Deposit Payment Authorization Form and $500 Security Deposit. The Security Deposit must be received by MacEwan Residence Services by the deadline indicated in your offer letter (June 15th, 2010 for guaranteed housing). If your Security deposit is not received by the deadline in your offer letter, your residence application will be cancelled.

Step 4 - Within five (5) business days of receiving your Security Deposit, you will be sent a notice indicating receipt of your Security Deposit.

Step 5 - In late June, you will be mailed an assignment package detailing your assigned suite type, move-in information and payment form for your remaining residence fees.  Please note: you will not be notified of your suite number, phone number, suitemate name(s), etc until move-in.

Step 6 - Submit your Payment Authorization Form along with residence fees, based on your selected payment plan.  Payment Authorization Forms are due August 15, 2010.

Residence Application Fee & Cancellation Process

Residence Application Fee - $50

  • Must accompany your residence application.
  • The fee is non-refundable.
  • If you wish to cancel your residence application you must submit a Residence Cancellation Form by registered mail to Residence Services at:

MacEwan Residence / 11050 104 Ave NW / Edmonton / AB / T5K 2Y9

  • Canceling your application after submitting your Security deposit may result in financial penalties (see below).

Security Deposit - $500

  • The $500 security deposit secures your space in residence.
  • The $500 becomes your security deposit once you move into Residence.

Cancellation Process

If you are not admitted to MacEwan University, you will be refunded the full $500 provided you submit a completed Residence Cancellation Form along with a copy of the letter of non-acceptance (if you have received it).  You may submit Completed Cancellation Forms to Residence Services as follows;

1.     Scan the completed form and send it directly to Residence Services via email to residence@macewan.ca;

2.     Send the completed form to Residence Services via registered mail;

3.     Fax the completed form to 780.633.8910;

4.     Drop the completed form off to MacEwan Residence in person.

Note the following:

1.     It is the applicant's responsibility to follow up with Residence Services to verify that the Cancellation Form has been received by Residence Services.

2.     Cancelling a residence application after you have been granted conditional or full acceptance will result in forfeiture of the $500 Security Deposit.

3.     If you choose to withdraw from your program, you must also cancel your Residence Application.  The Registrar's Office and/or your program will not automatically cancel your application to MacEwan Residence.

4.     If you are considering cancelling your residence application due to ‘exceptional circumstances' or due to a ‘substantiated medical reason'  (preventing University attendance) you are still required to submit a completed Residence Cancellation Form to Residence Services.

5.     You are encouraged to ensure that supporting documentation is provided upon submission of the Residence Cancellation Form.  Failure to provide supporting documentation may negatively impact a request to refund the $500 Security Deposit.

6.     Please allow five (5) to seven (7) business days for your Cancellation Form and all supporting documentation to be fully reviewed.

7.     You will be notified via letter as to whether your $500 Security Deposit will be refunded to you.

If your Residence Cancellation Form is received:

  • before June 30, 2010 you will receive a $400 refund;
  • on/after June 30, 2010 but before August 15, 2010 you will receive a $200 refund;
  • on/after August 15, 2010 there will be no refund of the $500 security deposit except as noted above;
  • on/after September 30th, 2010 there will be no refund of the $500 security deposit under any circumstances and regardless of reasons.
