MacEwan University Sport and Wellness is seeking a full time continuing Admin Support III. The incumbent is responsible for coordinating and managing the administrative requirements for the department. They will also provide direct support to the university athletic department. The Administrative Assistant is often the first contact between the Sport and Wellness/Athletic department and internal/external stakeholders.
The incumbent will:
Provide administrative support through scheduling meetings (and interviews), booking space, managing technical and catering requirements, scribing for meetings, and document and correspondence preparation
Perform clerical/administrative duties as required: word processing, correspondence, photocopying, collating, faxing, coordinating secure shredding, managing incoming and outgoing mail/deliveries/couriers on behalf of the department, maintain department photocopier and fax machine, etc
Be responsible for creating requisitions, inputting expense reports, receiving goods, etc
Act as the department timekeeper (between 100-150 records to process each pay period)
Coordinate and oversee the distribution and tracking of keycards to staff
Other administrative duties as required
The successful candidate will:
Have a post-secondary diploma (minimum two years) in Office Administration, business or related field
Be proficient with Microsoft Office including Word, Excel, and PowerPoint
Be familiar with general accounting principles and processes
Have experience in drafting letters, preparing forms and requisitions and meeting minutes
Be organized and detail oriented
Thrive in a fast-paced, demanding work environment with evolving priorities and competing deadlines, with demonstrated ability to multi task
Have strong communications skills; both verbal and written
Be able to synthesize information and present it concisely and effectively
Be able to work evening and weekend hours (as needed)
Have a minimum of 3 years of progressive administrative experience with basic budget experience. Experience in a recreation and post-secondary environment an asset
