As Executive Assistant, you will often be the first point of contact for the Office of the Provost and, as such, will be able to demonstrate confidentiality, diplomacy and tact, while representing the Office and the University in a professional and mature manner.
This role integrates a wide variety of duties related to complex administrative support systems, including academic human resources management, project management, and other administrative tasks, to ensure the effective and efficient operations of the Office of the Provost. As a result, it will offer many opportunities to apply your strong written and interpersonal communication skills, technical competency, and sound judgement in making decisions to ensure that matters are addressed in a timely manner and in order of priority.
Your professionalism and ability to organize, create, and maintain effective work and communications flow in and outside the Provost’s Office will position you for success, as you provide leadership and coordination for the day-to-day operation and administration of the Executive’s Office.
Your strengths in time management and flexibility will allow you to work accurately and effectively balance a busy workload that includes agenda preparation and minute-taking, personal schedule management for the Provost, records management, and coordination of meetings and events. Reconciling credit card transactions, purchase orders, and financial transactions will also be an important part of your role.
As our ideal candidate, you will have an undergraduate degree, along with at least five (5) years of senior administrative experience in a fast-paced executive office. Preference will be given to candidates who also have experience in a university environment. Equivalencies may be considered.
Expert computer skills are essential, including demonstrated knowledge and experience in the use of Microsoft Office Suite and other applications. An inquisitive learner who takes initiative, and has an applied understanding of collective agreement implementation, a management and human resources background, and a working knowledge of PeopleSoft will be advantaged.
