As Executive Assistant, you are frequently the initial point of contact for the Executive Offices and, accordingly, must be able to demonstrate confidentiality, diplomacy and tact, while representing the University in a professional and mature manner and adhering to the University Code of Conduct.

This role integrates a wide variety of duties related to complex administrative support systems, including academic human resources management, project management, and other administrative tasks, to ensure the effective and efficient operations of the Office of the Provost. It offers vast opportunity to apply your strong written and interpersonal communication skills, technical competency, and sound judgement in making decisions to ensure that matters are addressed in a timely manner and in order of priority.

Your professionalism and ability to organize, prioritize, create, and maintain effective work and communications flow within and outside the Provost’s Office will position you for success, as you provide leadership and coordination for ongoing operations and administration.

Strong time management and flexibility will ensure that you accurately and effectively balance a busy workload which includes agenda preparation, minute-taking, document review, schedule management, records management, and coordination of meetings, workshops and events. The ability to facilitate these duties in both physical and virtual environments is essential.


As our ideal candidate, you will have a college diploma in office administration along with 3-5 years of progressively responsible administrative experience at a senior/executive level. A related university degree is preferred, and knowledge of governance structures and processes would be an asset.

Preference will be given to candidates who also have experience in a university environment. Equivalencies may be considered.

Expert computer skills are essential, including demonstrated knowledge and proficiency in the use of Microsoft Office Suite and related applications, such as Sharepoint. An inquisitive learner who takes initiative, and has an applied understanding of management, human resources, collective agreements, meeting methodology and a working knowledge of PeopleSoft will be advantaged.
