Administrative Support III

The Facilities Department is recruiting for the position of Administrative Support III to support the effective and efficient operation of the Facilities Support Centre. This position reports to Facilities Manager, Planning and Finance, also provides direct administrative support to the Associated Vice President (AVP).
Main responsibilities of this position include: receiving and processing customer work orders by using the Integrated Workplace Management System (IWMS), referred to as Facilities Information Management System (FIMS); coordinating communication amongst the Facilities staff and other stakeholder; reconciling P-card expenses; scheduling appointments/meetings and room bookings for the AVP; providing documentation and taking minutes for meetings when necessary; purchasing office and other supplies when necessary; providing back up support processing Facilities purchase requisitions and receiving service invoices in PeopleSoft, and providing additional administrative support to the management team and special project work related to support centre operations.
• Strong computer skills with good working knowledge of Microsoft Office (Word, Excel, and/or Visio) products
• Excellent communication and interpersonal skills
• Strong customer service abilities
• Effective organizational skills
• Ability to multitask
• Able to work independently and effectively prioritize workload
• Experience with data entry
• A post-secondary/college diploma in office administration, business, or related field.
• Three years of office experience preferably with administrative, business and record management duties.
• Experience in PeopleSoft and building maintenance, or facilities services office in post-secondary would be considered an asset.
• Equivalencies may be considered.
