Events Assistant (Student Worker)

Opportunity

Reporting to the Manager of Conference and Event Services, the Events Assistant is responsible for providing event support to the Conference and Event Services operations and for assisting with the implementation of services for meetings, conferences, performances, and special events held on campus. The Events Assistant must possess a strong sense of responsibility, be diplomatic when dealing with clients and be comfortable networking with the community. Primary responsibilities include:
•    Monitoring external conferences, meetings, performances, and special events on campus.
•    Meeting and greeting clients and ensuring all aspects of their event is running smoothly.
•    Liaising with other university departments including Facilities, Catering, Parking and Security to troubleshoot during events.
•    Preparing delegate conference packages, staffing registration tables during conferences and providing campus tours.
•    Reporting to the Event Planner responsible for the event any issues and other feedback or details from their shift.

Skills


This role is expected to work effectively with a diverse range of individuals and groups.  The successful candidate must be an effective communicator and troubleshooter, enthusiastic, self-motivated, adaptable, and able to take initiative and responsibility for assigned tasks.  The successful candidate must be able to present themselves in a professional and businesslike manner in all dealings with the public.

Qualifications

A broad knowledge of the university is required, including the layout of the buildings and grounds.  The successful candidate will have an interest in the events or arts industry.  Experience planning and organizing large events and troubleshooting and solving problems would be considered an asset. Must be capable and willing to move furniture, boxes and AV equipment on occasion. 

This position is funded by the Magnet Student Worker Placement Program. To be eligible, applicants must be:
•    Registered in a recognized Canadian post-secondary institution (part-time or full-time enrollment in college, bachelor’s, master’s or PhD programs)
•    Canadian citizens, permanent residents, or persons whom refugee protection has been conferred under the Immigration and Refugee Protection Act. International students are not eligible.

Position Requirements

Extensive evening and weekend work is required and ability to work flexible and varied hours as required by client needs is essential. On average this position will work approximately 10-15 hours per week.
