The Faculty of Nursing invites applications for an Administrative Support staff member. This position is part of a small team providing comprehensive, detail oriented administrative support to Department Chairs and faculty members in five Departments. This role is often the first contact between the University and those seeking information about the department and its offerings. It is therefore imperative that the incumbent be knowledgeable about the courses the department offers so that they can deliver quality customer service. This position works closely with the Chairs ensuring that the administrative needs of departments are met. Responsibilities include: general office administration; preparation of internal and external documents, monitoring and responding to emails, arranging meetings and maintaining calendars; providing administrative support for department council and its committees, including preparation of agenda packages and minutes; reception and direction of queries from students and others.


  • Proficient in all general office duties

  • Proficient in university-standard software (MS Office, Google Suite, PeopleSoft)

  • Above-average interpersonal, communication, organization, and problem-solving skills

  • Able to work independently and prioritize a demanding workload

  • Excellent organizational skills and ability to handle frequent interruptions

  • Possess critical thinking skills and good judgment

  • Respond to multiple demands in a timely manner

  • Possess great attention to detail

  • Demonstrate initiative

  • Be adaptable to new technology as well as process and system changes

  • Possess above average writing and proofreading skills

  • Able to work in a professional manner with current and prospective students

  • Familiarity with Peoplesoft application would be an asset


  • Administrative Assistant diploma or other related post-secondary education.

  • Three to five years administrative experience is required (a combination of education and experience considered), preferably in the post-secondary sector.

  • Experience working with Microsoft Office software suite and applications (Teams, SharePoint, etc.) Google Suite (Docs, Sheets, Forms, etc.)

  • Experience with coordinating meetings

  • Experience with working with Peoplesoft and/or databases and queries
