Network ID and password
Your Network ID and a temporary password are sent to the email account listed on your application to MacEwan University. You will be prompted to change your password the first time you log in. You need your Network ID and password to log in to myStudentSystem.
If you have lost your Network ID, you will need to visit Technology Support in person. Please bring picture ID. If you need to reset your password or you are locked out of your account, access 'forgot your password?' or 'need help?' from the myPortal.MacEwan.ca login page.

WarningIf you leave and return to a page after it has been refreshed, it will freeze your session, forcing you to back out and go back in, thus causing you to lose your work. It is recommended to only add classes using one browser at a time. |
How to Enrol in a Class
Class Search
Click on the Manage Classes tile on the Student Homepage:
Go to Class Search and choose a term:
If you used the Schedule Planner, enter the specific class number. If you do not have the class number, simply enter the subject you are seeking, i.e. ENGL 102 or ENGL:
Search results will automatically only show classes that are available:
If you wish to see classes with waitlists, simply click the circled X to remove the filter. You can see there are now 26 sections:
Clicking on the course will open the list of classes with days, times, rooms and availability. Reserve Capacity Limits tell you which programs have access to the class.
Warning*** If a class has more than one Reserve Limit, you cannot tell who the enrolled spots belong to. If all the spots for your program are taken, you will get an error message at the end of your enrolment telling you the section is full. At that time, you can go back and add yourself to the waitlist. |
Waitlisted classes are sorted to the bottom of the list and you can see how many waitlist spots are available.
Clicking on the blue hyperlink will open the specific class information. To choose the class, simply click elsewhere on the course.
Step 1 of 3: Review Class Selection
Ensure this is the class you want and click the Next > button:

Step 2 of 3: Review Class Preferences
If the class is waitlisted, change “Add to waitlist if class is full?” to Yes.
If you have a permission number, enter it here. Most classes DO NOT require a permission number.

Step 3 of 3: Review and Submit
Review the class details one more time and click Submit to add the class to your shopping cart.
You will receive confirmation that your class has been added to your Shopping Cart:
Your Shopping Cart does not hold your spot in the class or represent your final enrolment. You can add more classes to your cart or proceed directly to enrolment for each individual class.
To complete enrolment, you must go to your shopping cart:
You will see the class(es) you added previously and will have the option to Delete until your Enroll appointment, at which time you will have the option to Enroll or Delete the selection.
If you received a permission number and forgot to add it, or the class is full and you wish to waitlist for it, simply click “Change Preferences” and add the information and Save before proceeding.
Check the box beside the class(es) you wish to add and click Enroll.
You will receive a confirmation message of the transaction:
If there is a red X and error message, it will tell you why you were not enrolled in the class.
Waitlist:
If you added yourself to the waitlist for the class, you will see your position number in the confirmation message:
Note if there was an error with your permission number when you add yourself to the waitlist, you will be notified:
You must drop the class and re-add it using the correct permission number immediately as you cannot edit a waitlist transaction once completed.
Verify your enrolment by going to the View My Classes menu item and you will see the class listed:
Dropping Enrolled and Waitlisted Classes
Select classes to drop
Go to the Drop Classes menu item in the Manage Classes tile, check off the class(es) you wish to drop and click Next:
If you do not drop your waitlisted classes and choose not to attend MacEwan, you could still be enrolled and therefore responsible for the tuition, so ensure you drop ALL classes including waitlisted classes.
Confirm the classes you wish to drop and click Drop Classes:

You will receive confirmation of the class(es) being dropped. If you are dropping them after the add/drop deadline, you will be informed of the W grade that will appear on your transcript:
Waitlist
How waitlists work

Students can join a waitlist for up to a maximum of three courses.
Waitlisted classes do not count as prerequisites. You must be fully enrolled in a class for it to count as a prerequisite or corequisite.

Check for scheduling conflicts when adding yourself to a waitlist. If there is a conflict, you must use the SWAP function when enrolling so the system will drop your enrolled class and enrol you in the waitlisted class. If you do not use the SWAP function to add a class to the waitlist, you must drop the class and add it as a swap, which will put you to the end of the list. The system will not enrol you if you are in another class at the same time or are already enrolled in a different section of the same course.

If you are skipped over on the waitlist due to a scheduling conflict, you will not lose your spot or be removed from the waitlist. Your position will remain the same until the scheduling conflict is resolved.

When you are enrolled into a class from a waitlist or a transaction occurs, an email will be automatically sent to your MacEwan email account. Be sure to view in myStudentSystem to verify the enrolment transaction.

Waitlist transactions are final and cannot be changed. Students and staff do not have the ability to change your waitlist position number or bypass the list and enrol you.
If you aren't getting in to a waitlisted class
There are a few reasons you may not get in to a waitlisted class:

Are you already enrolled in the maximum number of credits allowed?

Did you use the swap feature or did you add yourself directly to the waitlist?

Do you meet the prerequisites?
-
Do you meet the reserve limit or is the class restricted to other programs?

Are there any time conflicts with other classes?
Important dates
There are set dates for:
- when waitlists are closed to enrolment and
- when students are removed from waitlists.
Fall/Winter Rules

Waitlists are closed to enrolment on the first Friday of classes.

Students will be removed from waitlists on the Tuesday before the last day to add/drop for the term.
Spring/Summer Rules

Waitlists are closed to enrolment on May 1
- Students will be removed from waitlists two days before the add/drop date for the published May session.
Specific waitlist dates are published in the Academic Schedule.
Swapping Classes
Scenario A: Swapping one class for another
Go to the Swap Classes menu item in the Manage Classes tile and select the class you wish to swap from your schedule.
Note:You must be enrolled in the class in order to be able to swap it. |
You can either search for the class you wish to swap or, if you have the class number, simply enter it. If searching, click the Search button at the top right which will take you to the Class Search page where you will search for the class you wish to swap INTO:
Remember the results only show available classes. If you wish to swap with a waitlisted class, uncheck the Open Classes Only filter.
Click on the class and Next button to get to Step 2 of 3: Review Class Preferences where you will click Accept.
Step 3 of 3: Confirm Class Swap will provide a summary of your transaction. Click Submit to continue:

Scenario B: Swapping one enrolled class for a waitlisted class
Go to the Swap Classes menu item in the Manage Classes tile and select the class you wish to swap from your schedule.

You can either search for the class you wish to swap or, if you have the class number, simply enter it. If searching, click the Search button at the top right which will take you to the Class Search page where you will search for the class you wish to swap INTO:
Remember the results only show available classes. If you wish to swap with a waitlisted class, uncheck the Open Classes Only filter and the waitlisted classes will appear at the bottom. Click on the waitlisted class you desire and the Next button to get to Step 2 of 3: Review Class Preferences, where you check off “Add to waitlist if class is full?” Click Accept.
Review the transaction and click Submit:
You will receive confirmation of the transaction and your place on the waitlist:
Go to View My Classes and you will see you are enrolled in your current section and waitlisted for the new section:
If a spot becomes available, the system will automatically swap you from your enrolled class to the waitlisted class and send an email notification to your MacEwan account.
Scenario C: Enrolled in a Multi-component Course and Swapping One Component with Space Available
Go to the Swap Classes menu item in the Manage Classes tile and select the class you wish to swap from your schedule.
Note:You must be enrolled in the class in order to be able to swap it. |
Choose a class where the component you want is open. In this case, the X10L lab has space available, so choose this section and click Next. The lecture is still section AS01, however, this student is moving to another open lab.
Note:The lecture you are enrolled in shows as waitlisted because it is full. Your enrolled spot will not be dropped. |
Click Accept.
Confirm your selection and submit:
You will receive confirmation of your transaction. Remember to go to View My Classes for final verification.
Scenario FAIL: Enrolled in a Multi-component Course and Swapping One Component with waitlist
Swapping for multi-component waitlisted sections is NOT POSSIBLE and will DROP you from your ENROLLED section and will leave you only in the waitlisted sections.
Using the previous example, the student will be swapped into a lecture and lab combination that are both waitlisted:
