Steps to Graduate

Graduation is the awarding of a credential after successful completion of all program requirements. You must apply to graduate and receive your parchment.

Convocation is the formal ceremony commemorating the academic achievements of graduates. Attending the convocation ceremony is optional, but we encourage you to make plans to celebrate your achievement with the university community.

Apply to graduate

If you are on track to complete all program and institutional requirements by the requirements deadline, you are eligible to apply to graduate.

You must complete the application to graduate process by the application deadline. Late applications will not be accommodated. If you miss an application deadline, you need to wait until the next application cycle to be awarded your credential, receive your parchment and attend convocation.

The requirement deadline refers to the final date that all program and institutional requirements must be completed and any applicable documentation (e.g., external transcripts) must be received by the Office of the University Registrar.

Most students can apply to graduate through myStudentSystem. See the exceptions below.

  1. Log in to myPortal.MacEwan.ca using your Network ID and password.
  2. Launch myStudentSystem from the Quick Links menu.
  3. From your student homepage, select Academic Records.
  4. Select Apply for Graduation from the menu.
  5. Click on the name of your Academic Program.
  6. Select the Expected Graduation Term from the drop down.
  7. Click Continue (twice).
  8. Confirm the information is correct and click Submit Application.

Exceptions to online application

Some programs do not appear while selecting an Academic Program (step 5 above). You must apply by email (see instructions below) if your program does not appear and you are graduating from one of the following programs:

  • Accounting Technology (certificate)
  • Arts and Cultural Management (certificate)
  • Arts and Cultural Management (diploma)
  • Business Management (certificate)
  • Child and Youth Care (diploma)
  • Early Learning and Child Care (diploma)
  • Graphic Design (diploma)
  • Human Resources Management (certificate)
  • Music (diploma)
  • Music Theatre Performance (diploma)
  • Studio Arts (diploma)
  • Theatre Production (diploma)

Email convocation@macewan.ca from your myMacEwan student Gmail account with the following information:

  1. The convocation TERM (Spring/Fall) and YEAR in the subject header
  2. Your student ID number
  3. Your full name
  4. The credential for which you are applying

Verify your legal name and your mailing address in myStudentSystem:

  1. Log in to myPortal.MacEwan.ca using your Network ID and password.
  2. Launch myStudentSystem from the Quick Links menu.
  3. From your student homepage, select Academic Records.
  4. Select View my Graduation Status from the menu.

Check your legal name

Your legal name will be printed on your parchment exactly as it appears in myStudentSystem. Preferred names are not printed on parchments. Ensure your full legal name is displayed in the Your Legal Name field. It should match other legal documents such as your birth certificate or passport.

If you require a name change, complete the process prior to the graduation requirements deadline. Corrections made after the deadline may not be published in the convocation program.

Change your legal name

Confirm your address

If you do not attend your Convocation ceremony, your parchment will be mailed to the address on file in myStudentSystem. Please confirm your address and ensure unit/suite numbers are included if applicable. Incomplete or incorrect mailing information causes significant delays in receiving your parchment.

Update your address

Your parchment and other official documentation will not be released if you have outstanding accounts with MacEwan University. We urge you to pay all outstanding fines and fees at least two weeks prior to Convocation to ensure that your parchment is available at the ceremony.

Application status

You will receive an email acknowledgement to your myMacEwan student Gmail account to confirm receipt of your application to graduate.

If you do not receive confirmation within two weeks after your application, email convocation@macewan.ca from your myMacEwan student Gmail account.

Graduation status

Check your myMacEwan student Gmail account regularly to confirm your graduation status. Within one week of a change to your graduation status, you will receive an email acknowledgement to your myMacEwan student Gmail account, indicating that change.

If you applied for Spring Convocation, you will be advised of your final graduation status by the end of May.

If you applied for Fall Convocation, you will be advised of your final graduation status by the end of October.

RSVP to attend convocation

Once you have been approved to graduate, you will receive an email to your myMacEwan student Gmail account inviting you to RSVP to convocation. This email outlines your RSVP details, including your ceremony’s date and time, ticketing information, regalia rentals and more. This is time sensitive information and we encourage you to check your inbox frequently. You must RSVP to attend convocation and late RSVPs may not be accommodated.

Confer dates

All credentials issued for a specific academic term include a confer date. The confer date is also indicated on transcripts, parchments and verification of credential letters. Your credential will not appear on your transcript until the confer date.

The confer date for Spring 2024 is June 18, 2024.
