FINAL EXAMS

The final exam schedule for most classes is determined by the class start time and days of the week. The exam schedule can change, so you must confirm your final exam dates and location in myStudentSystem at the end of the first month of each term.

It is your responsibility to know when and where final examinations are scheduled and to arrive on time. You must be available for the entire exam period in case there are changes to your exam schedule. Check the Academic Schedule for exam period start and end dates.

Deferred exams

If you encounter an exceptional circumstance that prevents you from being able to write a final exam or final assessment at the scheduled time, you can apply for a deferred exam.

Student Deferrals Procedure

Process

  1. Notify your instructor
You must notify your instructor via email as soon as possible that you intend to request a deferral. This notice must be no later than two (2) working days after the scheduled final examination or final assessment date.
  2. Request deferral
You must complete and submit a Deferred Examination Request Form with relevant supporting documentation no later than two (2) working days after a missed exam.

Note: New Deferred Examination Request Form coming soon.

  3. Await decision
Requests are evaluated based on the Student Assessments Policy and the Student Deferrals Procedure. You will receive an email notification regarding the decision. If your request is approved, you will also receive a new writing date, time and location for the deferred exam. You must adjust your schedule to be available for the deferred exam date.
  4. Write the deferred exam
Instructors will inform you of your deferred exam writing date, time, and location.

If you are registered with Access and Disability Resources and have approved exam-related accommodations, you must notify the Exam Services Centre and forward a copy of your approval email no later than two (2) working days after receiving the decision. Exam Services will follow up with instructions on booking an accommodated deferred exam.

Responsibilities

The student requesting a deferred exam, the course instructor or department chair, and Exam Services each have a role to play in the exam deferral process.

  • Notify your instructor of a missed exam as soon as possible.
  • Complete the Deferred Examination Request form and submit it no later than two (2) working days after your missed final exam or final assessment.
  • Wait to hear from your instructor regarding a decision.
  • Review the Student Assessments Policy and the Student Deferrals Procedure.
  • Communicate instructions and expectations regarding missed assessments to students enrolled in course(s).
  • Manage missed assessments during the term. Instructors have discretion and flexibility in the type of academic concession they provide for missed in-term assessments including exams.
  • Review any deferred examination requests received and respond to the student within four (4) working days with a decision and, if the request is approved, the new exam writing date, time, and location.
  • Enter a grade of DEF on the student’s record.
  • Work with Exam Services for students with approved exam accommodations.
  • Complete the Grade Change Form and submit it to the Office of the University Registrar.

Provide support to students who are registered with Access and Disability Resources and have exam-related accommodations.
