DROP / WITHDRAW Process

Non-attendance in a course does not constitute a withdrawal from the course. Notifying your instructor, ceasing to attend classes or stopping payment on a cheque will not be accepted as a course drop or withdrawal.

The deadlines listed in the academic schedule for adding, dropping and withdrawing from courses are strictly adhered to.

Drop or withdraw from a course

Drop

Use myStudentSystem to drop courses up until the add/drop deadline each term as listed in the academic schedule. The course will not appear on your academic transcript.

  • If your course has both a lecture and lab component, please ensure that you drop both sections.
  • If you do not plan to attend a waitlisted class, ensure you drop it. All deadlines and assessments apply if you are automatically enrolled from a waitlist.

After the add/drop deadline, you will be held responsible for all fees associated with the classes in which you remain enrolled.

Withdraw

Use myStudentSystem to withdraw from courses up until the withdrawal deadline each term as listed in the academic schedule. You will receive a grade of "W" on your academic transcript. The course will not be counted toward your GPA. If you withdraw from a course that is a prerequisite for another course you are enrolled in, you must also withdraw from the subsequent course.

There will be no adjustment to tuition and fees for course withdrawals.

No changes can be made to your term schedule after the withdrawal deadline. You will receive a final grade in your courses based on work completed and this final grade will be included in your GPA.

Refund Process, Timelines & Policy
Any changes to your course schedule may alter your fee assessment. Refunds, if applicable, are calculated according to the scheduled refund categories in the Refunds of Tuition and Student Fees policy.

Withdraw from your program

If you wish to withdraw from all courses in a term or all courses in your program, no formal notice is required. However, we encourage you to first consult with an academic advisor, your program chair or your program coordinator. If you are an international student, please consult with an advisor in MacEwan International.

Use myStudentSystem to drop or withdraw from all courses in your schedule. Please be aware of all deadlines in the academic schedule related to dropping or withdrawing from a course as these have academic and financial implications.

Important notes for new students

You must schedule at least one course in your first term at the university (your admit term). If your first-term schedule is empty, your access to course enrolment will be closed after the add/drop deadline and you forfeit your seat in the program.

You may be eligible for a partial refund of the admission confirmation deposit if you notify the Office of the University Registrar in writing of your intent to withdraw from the university by the admission confirmation deposit deadlines.

Important notes for current students

Reapplying after an absence

After the add/drop deadline in your first term at the university, if you drop or withdraw from all courses, your seat in the program remains open for 12 months. After 12 consecutive months—unless you have been approved for a leave of absence—you must reapply to your program through ApplyAlberta to continue your studies.

Your application will be evaluated according to the admission requirements valid at the time of reapplication. If you are reapplying to a competitive program, you will be competing with the new group of applicants.

Student Leave of Absence

If you anticipate a break in your studies for a period greater than 12 consecutive months due to extenuating or exceptional circumstances, you may request an approved leave of absence. Requests are not guaranteed; several factors are considered during the review process. All leaves are granted in accordance with the Student Leave of Absence policy.
